To track which volunteer is holding a festival’s collected cash, record each contribution on the collector’s own phone and let the software credit the cash to that person’s account until they hand it over. In Om Kosh this is one setting, “Collectors hold the cash they collect” in Settings → Profile. Once it is on, every cash contribution a committee member records on the mobile app appears on the Cash flow page in their name, as one line per day with the day’s total and receipt count.
Why cash goes missing between the door and the treasurer
In most housing societies and mandals, four or five volunteers collect contributions in the evenings, each from their own wing. The receipts are issued on the spot, but the cash stays in the volunteer’s pocket for a day or a week before it reaches the treasurer. When the count at the end does not match, nobody can say whether the gap is a lost ₹500 note, a receipt entered twice, or cash still sitting with someone who forgot to hand it over.
A receipt book tells you money came in. It does not tell you where that money is right now. That second question is the one committees argue about at the AGM.
How it works in Om Kosh
Turn the setting on once, and the app does the rest as your volunteers collect.
- A committee member records a cash contribution on the Om Kosh mobile app, online or offline
- The cash is credited to that member’s account on the Cash flow page, grouped by day: “Cash collected on 24 Sep 2026 · 10 receipts, ₹21,600”
- When they hand the bundle to the treasurer, record it as a transfer; when they pay a vendor or buy flowers from it, record it as an expense done by them
- Their balance on the Cash flow page is exactly the cash they are still holding
It stays right when a receipt changes
The day’s line is rebuilt from the receipts behind it, so it never drifts. Correct an amount from ₹5,000 to ₹4,000 and the day’s total drops by ₹1,000. Strike off a receipt entered against the wrong flat and it leaves the total. Delete the only receipt of a day and that day’s line disappears. UPI and bank payments are never counted, because that money went straight into the society’s account and no volunteer is carrying it.
When to leave it off
The setting is off by default. If your collectors deposit the day’s cash with the treasurer the same evening, the Cash flow page would only show lines that are settled within hours, and you do not need them. Turn it on when cash stays with volunteers across days, which is the case for most door-to-door festival collections in larger societies and public mandals.
Frequently asked questions
Does every cash receipt show up as a separate line?
No. Om Kosh groups a collector’s cash into one line per day, with the day’s total and the number of receipts, so the treasurer reconciles one bundle per volunteer per day instead of scrolling through every receipt.
Are UPI payments added to the volunteer’s cash?
No. Only contributions recorded with a cash payment method are credited to the collector. UPI and bank payments go straight to the society’s account, so no volunteer is holding them.
What happens if a volunteer records a wrong amount?
Correct or strike off the receipt as usual and the day’s line recalculates itself from the receipts behind it. An admin can also edit or remove any entry on the Cash flow page.
Does it work when the volunteer has no internet?
Yes. Collections recorded offline sync when the phone is back online, and the cash is credited to the collector at that point.
Does it apply to cash collected before the setting was turned on?
No. Only cash recorded after you turn it on is credited, so switching it on never rewrites your existing books.
