What to record for each item

Keep it light, enough to find it and know its condition.

• Item name, quantity and rough value
• Category, furniture, sound, lighting, idol, utensils, structure
• Where it’s stored and who currently holds or borrowed it
• Condition, and any repair it needs before next use
• Year acquired, so you can plan replacements

Allocation and repairs

During a festival, allocate items to the volunteers or areas using them, so you know who to ask when the sound system goes missing. Log repairs, a rewired amplifier, restrung serial lights, against the item, and that maintenance cost sits in your expenses too. Next year you open the register and know exactly what you have and what to buy.
